Asia Music Event (AME) – Terms & Conditions

These Terms and Conditions (“Terms”) apply to the purchase and use of tickets, passes and accreditations for Asia Music Event (“AME”), and to participation in or attendance at AME and its related programmes.

AME is organised by [Asia Music Event Name] (“AME”, “we”, “us”, “our” or the “Organiser”).

By purchasing or using an AME ticket or pass, registering for AME, or attending any AME event, you agree to these Terms.

1. About AME

Asia Music Event (“AME”) is an international music industry event held in Hong Kong, bringing together artists, music professionals, creators, platforms, brands, media and audiences through conferences, talks, networking, showcases, performances and related programmes.

AME may include:

  • conferences, panels, talks and workshops;
  • industry networking and business events;
  • artist showcases and live performances;
  • partner events and activations; and
  • other programmes presented as part of or in association with AME.

Some events may be organised directly by AME, while others may be organised in collaboration with or independently by third-party promoters, venues or partners.

2. Definitions

For the purposes of these Terms:

“AME” or “Event” means Asia Music Event and the programmes and activities organised by or on behalf of the Organiser.

“Conference” means the professional programme of AME, including panels, talks, workshops, presentations, meetings and networking activities.

“Delegate” means a person registered or accredited to attend the professional or conference programme of AME.

“Showcase” means a live performance, music event or other entertainment programme presented as part of or in association with AME.

“Promoter” means a third party responsible for organising or operating a Showcase or other associated event.

“Ticket” or “Pass” means any ticket, digital ticket, QR code, barcode, accreditation, wristband or other credential granting access to AME or part of AME.

“Venue” means any location at which an AME programme or associated event takes place.

3. Tickets and Registration

Tickets and Passes may be sold through AME or through authorised ticketing partners.

When purchasing a Ticket or registering for AME, you must provide accurate and complete information.

We may require information such as your:

  • full name;
  • email address;
  • company or organisation;
  • professional title;
  • country or region; and
  • other information reasonably required for registration or accreditation.

We may request valid identification when issuing or validating a Ticket, Pass or accreditation.

Tickets are subject to availability.

We reserve the right to limit the number of Tickets purchased by any person or organisation and to cancel transactions that we reasonably believe involve fraud, unauthorised resale, misuse or other improper activity.

A Ticket purchase is confirmed once payment has been successfully processed and a confirmation or Ticket has been issued.

4. Access to AME

A Ticket or Pass only provides access to the programmes, dates, areas or activities specified for that Ticket category.

Certain sessions, Showcases and Venues may have limited capacity.

Holding an AME Ticket or Pass does not guarantee admission to every individual session, Showcase or Venue where capacity has been reached.

Access may also be subject to:

  • Venue capacity;
  • age restrictions;
  • security checks;
  • valid identification;
  • accreditation requirements;
  • applicable Venue rules; and
  • applicable legal or regulatory requirements.

Attendees are responsible for checking programme schedules, Venue information and entry requirements before attending.

5. Programme Changes

AME is a live event and programme details may change.

We reserve the right to make reasonable changes to:

  • speakers;
  • artists and performers;
  • session times;
  • schedules;
  • programme formats;
  • Venues;
  • capacity arrangements; and
  • other elements of the Event.

Changes to individual speakers, artists, performers, sessions or programme elements do not constitute cancellation of AME and do not automatically entitle Ticket holders to a refund.

We will use reasonable efforts to communicate significant programme changes through AME’s official channels.

6. Third-Party Showcases and Partner Events

Some Showcases or associated events may be organised and operated by independent Promoters, Venues or partners.

Such events may be subject to additional terms, entry requirements, age restrictions, capacity restrictions or policies imposed by the relevant Promoter or Venue.

Where AME is not the organiser of a particular event, the relevant third-party organiser is responsible for the production, operation, safety and delivery of that event.

AME does not guarantee admission to independently operated events solely because they appear in the AME programme.

7. Ticket Transfers and Resale

Unless otherwise stated for a particular Ticket category, Tickets and Passes may be issued to a named individual.

Where Ticket transfers or name changes are permitted, they must be completed through an authorised AME or ticketing channel.

Tickets must not be:

  • counterfeited;
  • duplicated;
  • reproduced without permission;
  • used for unauthorised commercial promotions; or
  • resold through unauthorised channels.

We reserve the right to cancel or invalidate Tickets that we reasonably believe have been obtained, transferred or resold fraudulently, unlawfully or in breach of these Terms.

8. Refunds

Except where otherwise stated at the time of purchase, AME Tickets and Passes are non-refundable.

Refunds will not normally be provided where an attendee:

  • chooses not to attend;
  • is unable to travel;
  • arrives late;
  • fails to comply with entry or identification requirements;
  • is refused admission due to breach of these Terms or Venue rules; or
  • cannot access an individual session or Showcase because capacity has been reached.

Different refund terms may apply to independently organised Showcases or partner events.

Nothing in these Terms limits any rights that cannot legally be excluded under applicable Hong Kong law.

9. Cancellation, Postponement or Relocation

If AME is cancelled in its entirety and is not rescheduled, Ticket holders will be informed of the applicable refund arrangements.

If AME is postponed, Tickets will normally remain valid for the rescheduled Event.

If AME or part of the Event is relocated to another Venue, Tickets will normally remain valid for the relocated programme.

Where only an individual session, speaker appearance, performance or Showcase is changed or cancelled, this will not normally constitute cancellation of AME as a whole.

For independently organised events, cancellation and refund arrangements are determined by the relevant organiser.

10. Force Majeure

AME will not be responsible for failure, delay, cancellation, postponement or modification resulting from circumstances beyond our reasonable control.

Such circumstances may include:

  • typhoons or severe weather;
  • natural disasters;
  • epidemics or public health emergencies;
  • government orders or restrictions;
  • Venue closures;
  • transport disruption;
  • industrial disputes;
  • power or telecommunications failures;
  • security incidents;
  • civil disturbance; or
  • other circumstances that make it unsafe, unlawful or impracticable to hold the Event as planned.

Where reasonably possible, AME will communicate alternative arrangements through its official channels.

11. Conduct and Safety

AME aims to provide a safe, professional and respectful environment.

Attendees must follow reasonable instructions from AME staff, Venue staff, security personnel and authorised Event representatives.

We may refuse admission to or remove any person whose behaviour we reasonably consider to be:

  • unsafe;
  • abusive;
  • threatening;
  • discriminatory;
  • harassing;
  • disruptive;
  • unlawful; or
  • materially detrimental to other attendees, speakers, artists, staff, partners or the Event.

Ticket fraud, theft, violence, deliberate damage to property, unauthorised access and possession of prohibited items may result in removal from the Event and, where appropriate, referral to the relevant authorities.

A person refused admission or removed for these reasons will not normally be entitled to a refund.

12. Photography, Filming and Recording

Photography, filming, audio recording and livestreaming may take place at AME.

By attending AME, you acknowledge that you may appear incidentally in photographs, video recordings, livestreams or other recordings of the Event.

AME and its authorised production or media partners may use such material for legitimate purposes relating to AME, including:

  • Event documentation;
  • editorial content;
  • press and media coverage;
  • archival use;
  • AME websites and social media; and
  • promotion of AME and future editions of the Event.

Commercial filming, professional photography, broadcasting, livestreaming or recording by attendees requires prior permission from AME unless expressly permitted.

13. Intellectual Property

The AME name, logo, visual identity, website content, graphics and other AME materials are owned by or licensed to the Organiser and may not be reproduced or commercially used without prior permission.

Content presented by speakers, artists, performers, partners or other participants may be protected by intellectual property rights belonging to those parties.

Attendance at AME does not grant attendees the right to reproduce, distribute, broadcast or commercially exploit such content.

14. Sponsors, Partners and Service Providers

AME works with sponsors, partners, Venues, ticketing providers, technology providers, production suppliers and other third-party service providers.

The involvement of a third party in AME does not mean that AME is responsible for all products or services independently supplied by that party.

Where an attendee separately purchases, registers for or participates in a third-party service or activity, additional terms imposed by that third party may apply.

15. Personal Data

Personal data collected in connection with Ticket purchases, registrations and participation in AME will be handled in accordance with the AME Privacy Policy and applicable data protection laws.

The Privacy Policy explains, among other things:

  • what personal data AME collects;
  • why the data is collected;
  • which service providers may process it;
  • when information may be shared with third parties;
  • how marketing communications are handled; and
  • the rights available to individuals in relation to their personal data.

16. Liability

To the fullest extent permitted by applicable law, AME is not responsible for indirect, incidental or consequential loss resulting from attendance at or inability to attend AME.

Attendees remain responsible for:

  • their personal belongings;
  • travel and accommodation arrangements;
  • personal insurance;
  • compliance with immigration or visa requirements; and
  • their own conduct and personal safety while attending the Event.

Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by law.

17. Changes to These Terms

AME may update these Terms from time to time to reflect changes to:

  • the Event;
  • our services;
  • operational requirements;
  • applicable laws; or
  • regulatory requirements.

The latest version will be published on the AME website together with its effective date.

Where a change materially affects existing Ticket holders, we will take reasonable steps to provide appropriate notice.

18. Governing Law and Jurisdiction

These Terms are governed by the laws of the Hong Kong Special Administrative Region.

Any dispute arising out of or in connection with these Terms, the purchase or use of an AME Ticket or attendance at AME shall be subject to the jurisdiction of the courts of the Hong Kong Special Administrative Region, except where applicable law provides otherwise.
